Collects and organizes databases for student information as needed to clear for athletic participation (i.e. physical examination, annual health questionnaires, permission to participate forms, insurance, consent for emergency, athletic department by-laws, academic eligibility, transfer student documentation, and athletic fees.)
Coordinates and maintains a filing system for weekly academic eligibility.
Assists in processing correspondence to the Arizona Interscholastic Association, Inc. (AIA) and area athletic administrators/officials.
Maintains and updates names and addresses of local schools and athletic officials.
Coordinates transportation for all athletic contests.
Places and receives telephone calls, records messages regarding coaches, officials, and athletic transportation.
Prepares payment and processes paperwork for game officials through the AIA Refpay (program the funds all local, region, state events).
Prepares payment and processes paperwork for annual Athletic Dues and other fees through AIA office.
Assists in processing AIA Financial paperwork/payment when SHS hosts playoff events.
Assists in processing AIA surveys, documentation, and paperwork that determines athletic billing from AIA.
Prepares all reporting required by AIA and/or State institutions; this includes opening and closing of school documents, membership reports, state reports and any other reporting requested.
Prepares requisitions of payment for game workers (i.e. officials, score keepers, clock, etc) for all home contests and tournaments hosted by SHS.
Collects and processes all student athletic fees.
Collects and processes all tax credit donations pertaining to athletics.
Processes approved requisitions and collects/deposits money for club accounts (i.e. fundraisers, club purchases, etc.)
Keeps track and balances Auxiliary/M&O Athletic budgets.
Processes all purchases (i.e. purchase orders, checks, etc) through Visions program
Prepares and processes payment for entry fees for invitationals.
Prepares meal checks for Regionals and State events.
Prepares money boxes, count and deposit revenue for all home athletic events.
Prepares money boxes, count and deposit revenue for all concessions at home events.
Prepares AIA scholar-athlete awards based on academic eligibility.
Assists in the office with as a back up to principal’s secretary.
Assists in tracking the collection of team inventory forms for all sports including uniforms, equipment and yearly summaries at the conclusion of each season of sport.
Prepares SHS athletic awards (i.e. certificates, varsity letters, pins, etc.) for end of season and end of year recognition.
Keeps school athletic calendar up-to-date on district website.
Assists in scheduling and maintaining the Athletic Director’s calendar, appointments, meetings, and conferences.
Performs other duties as assigned by the Safford High School Athletic Director.
Maintains high level of confidentiality and ethical behavior regarding information about students and staff.
Prepares letters, memos, reports and other correspondence.
Assists in coordination of school athletic events and school calendar.
Assists students, parents, staff, and visitors in the main office.
Accepts phone calls directed to the Athletic Director and Principal(s). Screen calls, evaluate nature of call and resolve or re-direct.
Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
Establishes, maintains, and monitors confidential filing systems in an accurate and efficient manner.
Inputs and keeps student records up to date.
Compiles data and information from various sources and inputs on various forms.
Assists in handling students sent to the office for discipline problems.
Performs all duties in the bookstore (i.e. ordering and distributing supplies for staff and students, collecting payment for fees, club dues, fundraisers, activity ticket sales, etc.)
Assists with student aides in the office
Becomes knowledgeable and competent in other office affairs so as to be able to handle them in the absence of another secretary, Principal(s), or Athletic Director.
Performs other duties as assigned by the Principal, Assistant Principal, or Athletic Director.
