Job Position Details: JOB TITLE: Support Operations Assistant
REPORTS TO: Director of Support Operations
JOB DESCRIPTION:
To relieve the supervisor of paperwork so he can attend to the needs of students, staff and individual schools. To assure the efficient operation of the Business Office and Maintenance/Transportation Department so that the maximum amount of time can be used in operating the school maintenance/transportation system.
SPECIFIC DUTIES AND RESPONSIBILITIES:
Keeps track of work orders and makes sure they are being completed.
Oversees scheduling and pre-certification of vehicles, ensures bus drivers are on time for routes, trips, shuttles, etc., that vehicles are ready for the assigned trip and the pre-trip/post-trip paperwork is completed properly.
Maintains all personnel files which includes; commercial driving records, record of due dates for bus drivers when to complete the Physical Performance Test, Bus Driver Refresher Course, First Aid/CPR Course, physicals, etc. Checks sex offender’s web page weekly for possible violations.
Submits requisitions for purchase orders and orders parts and supplies as needed, tracks and verifies delivery/receipt of ordered item(s) and maintains supply inventory. Aids in bus/fleet repairs and maintains accurate logs for the same.
Coordinates bus evacuation training exercises with each individual school twice a year.
Controls use of fuel credit cards and is responsible for turning in all fuel credit card receipts, including making sure they have been signed, dated and submitted to the District Business Office.
Is available for bus drivers for questions, etc.
Ensures random drug testing is done.
Ensures that all bus drivers follow Arizona Department of Administration Minimum Standards for School Bus Drivers.
Receives complaints by students, parents, teachers, principals, etc.
Is responsible for knowing and complying with current and changing laws pertaining to student transportation.
Acts as purchasing coordinator for purchases over $5,000 Imports and reconciles Capital Asset listing to expense vouchers Creates reports as necessary for managing Capital Assets Maintains Capital Assets database, coding, locations, missing items Oversee sites performing yearly Capital Asset inventory Develops bids and RFP’s for items over $5,000 Files property and casualty insurance claims Input Journal Entries as needed Performs other duties as assigned by the supervisor.
